RESPONSIBILITIES: The Project Management intern will have the following duties: · Coordinating and executing special projects and events. · Project coordination: maintaining deadlines, getting price quotes, establishing priorities, and assisting in the implementation of daily tasks. · Researching, implementing and maintaining structures that help support the organization. Ø CONFERENCE:The Conference Department is seeking interns to assist in the coordination and management of conference events and activities leading up to and throughout the Festival. Held during the first four days of the Festival, the Conference features panels and workshops that cover all aspects of the art, craft and business of screenwriting from the masters themselves – leading Hollywood writers, directors, producers, agents, managers and production company executives. CATEGORIES: Management, Event Management RESPONSIBILITIES: · Assist the Creative Director in coordinating the numerous panels · Conduct extensive research on incoming guests, potential speakers and topics, and trends in the industry · Act as hosts for incoming speakers and registrants · Ultimately will play a large role in the overall event preparation, management, and logistical organization of the Conference REQUIREMENTS: · People skills are a must · Ability to juggle multiple projects, complete thorough tasks in short periods of time, and organize projects with a focus on prioritization and meticulousness. · An interest in film and film-related events. · Ability to manage high-stress/high-volume situations with ease, and oversee a team of volunteers to ensure smooth operations · Equal interest in both event production and the film industry · Knowledge of screenwriters and independent film is preferred
Ø DEVELOPMENT:AFF is seeking Development Interns to work as an assistant to the Development Director on a variety of daily tasks and projects that allow the festival preparation to go smoothly. RESPONSIBILITIES · A typical day will include negotiating festival promotion for food trade with local restaurants, digging up any info you can on a potential sponsorship target, writing a marketing proposal for a local business, with time in there somewhere for vetting venues for one of our late night festival parties and updating our sponsorship database. REQUIREMENTS: · People skills and time management skills are a must. · Must be comfortable on the phone · Creative writing skills. · Attention to detail. · Marketing/Sales Background preferred, but not required.
Ø FILM MARKETING:AFF is looking for interns to focus on creating and implementing marketing strategies for AFF’s Film Competition, as well as year round events and general brand awareness. Interns will be required to work a regular schedule within business hours (Monday to Friday 10 am to 6 pm), though we are flexible on the specific hours. RESPONSIBILITIES: · Develop marketing plans · Reach out to relevant organizations, universities, and publications · Post call for entry information to websites and social media platforms and keep track of each strategy’s effectiveness. · Working with social media · Designing flyers and other artwork. · Researching, compiling, and updating marketing lists. · Analyzing data. · Attending/working AFF events REQUIREMENTS: · Comfortable with computers, especially Word and Excel. · Efficient, punctual, outgoing, and good with people. · Highly organized, communicative, and a self-starter. · Applicants need to be comfortable with both research projects and jumping on the phone with filmmakers and organizations. · Knowledge of Adobe Creative Suite is a plus.
Ø MARKETING DESIGN:Austin Film Festival is seeking a Design Intern to help with various print and digital design projects throughout the year. The position provides an excellent opportunity to gain experience in practical graphic design, copy writing, and copy editing. RESPONSIBILITIES: Working under the guidance of the Marketing Coordinator and Marketing Director, the Design Intern will have the following duties: · Assist the Marketing Department with multiple print and digital design projects · Provide production and design support on a wide variety of digital and print projects · Create custom icons and graphics · Create fact sheets, flyers, postcards, and other collateral material · Update general templated materials for departments across the organization · Help manage the print and design calendar · Download and organize event photos, edit/resize photos, research stock photos · Maintain organization of shared assets across departments · Other duties as assigned REQUIREMENTS:
Ø THEATER OPERATIONS:The Theater Operations Intern will support the Theater Operations Manager in managing and coordinating all film venue logistics, organizing venue materials, and preparing Front of House requirements in order to make the Austin Film Festival a positive experience for filmmakers and audiences alike. CATEGORIES: Management, Venue Management RESPONSIBILITIES: · Will travel with the Manager throughout the duration of the festival and assist with theater management and any day-of troubleshooting. · During the Festival (Thursday, October 26-Thursday, November 2), most days will begin with the AFF morning staff meeting (7am) and conclude an hour after the last screening ends. REQUIREMENTS: · Excellent time management · Ability to communicate effectively in a straightforward manner and take direction · Able to respond to phone calls, texts, and emails promptly and professionally · Comfortable working with PCs and Microsoft Office applications, especially Microsoft Word and Excel · Knowledge of theater and/or film venues (especially front of house) · Excellent interpersonal skills · Strong problem-solving skills · Ability to handle stressful situations and act professionally at all times · Great writing and editing skills in regards to grammar, spelling, and vocabulary · Must be able to lift 25 lbs. · Hours will vary between approximately 12-15 hours per week leading up to and following the Festival. (We can discuss what hours work with applicant’s schedule, but a set schedule is preferred).
Ø PRODUCTION:** THIS IS NOT A FILM PRODUCTION INTERN POSITION** Austin Film Festival is seeking Production Interns to support the Production Manager and sometimes the Theater Operations Coordinator in managing and coordinating all film venue logistics and presentation in order to create a positive festival experience for the filmmakers and audiences during the Austin Film Festival. The position requires knowledge of film as a digital media and its different formats, as well as a general understanding of exhibition standards. CATEGORIES: Production Management/ Production RESPONSIBILITIES: The Production Intern will assist the Production Manager in a variety of tasks both prior to and during the Festival; · Assist in organizing all incoming media files and updating tracking spreadsheets · Assist with Quality Checks of selected films · Quality check incoming films · Completing film traffic tracking and paperwork · Checking festival playlists · Traveling with Production Manager during the Festival to assist with troubleshooting, theater management and anything else needed · Attending Projectionist, Theater Manager and Filmmaker Liaison training · Conducting tech checks with filmmakers during the Festival REQUIREMENTS: · Attention to detail, high organizational skills and ability to operate calmly under high-pressure situations is a MUST. · Knowledge of film codec, transferring digital data. · Have a general idea of Digital Projection systems and audio/video inputs. · Knowledge of Adobe Premiere, Final Cut Pro, After Effects and VLC preferred. · Comfortable working with PC and Mac and MS Office, especially Excel. · Hours will vary between 12-15hrs/ week during the weeks leading up to and following the Festival. · During the Festival (Thursday, October 26 – Thursday, November 2), most days will begin with the AFF morning staff meeting (7am) and conclude an hour after the last screening ends. PRODUCTION INTERN POSITIONS: Assistant Production Manager (2-3): Assists Production Manager with Filmmaker Registration by managing binder and other tracking documents. Intern will be responsible for tracking incoming data from Filmmaker Packets, Badge Registration forms and additional ticket/badge purchases. Intern will also work at the Registration Table during the first few days of the Festival. Production Operations (2-3): Assists with handling incoming filmmaker material including exhibition files (on hard drives), screeners, trailers & stills and other material. Interns will test all incoming screeners and maintain organization of all materials received. All hard drives will need to be virus scanned, uploaded to computers, spot-checked and prepared for Quality Control. Interns will also assist with computer setup, software installs and projection logistics. Interns will also create playlists for the Festival and attend tech checks/venue walk-throughs to have a full understanding of tech operations during the Festival.
Ø SITE COORDINATION:The Site Coordinator Intern is responsible for assisting the Site Coordinator with organizing and following through with all logistical needs regarding signage and other related rentals at all venues throughout the festival. CATEGORIES: Venue Management, Management RESPONSIBILITES: · Setting up venues and breaking them down · Maintaining conference rooms by rotating director chairs and making sure water is placed next to every seat · Making sure all signs and banners are properly places REQUIREMENTS: · Must be able to lift at least 25lbs. · Problem solving skills and patience. · Analytical skills · Able to stay calm under pressure. · Excellent interpersonal skills. · Excellent customer service experience.

CATEGORIES: Administration RESPONSIBILITIES: · Coordinate and execute administrative and special projects assigned by the executive department. · Project coordination duties: maintaining deadlines, getting price quotes, creating priorities, assisting in the implementation of daily tasks, assisting with administrative projects. · Administrative duties: assisting Bookkeeper and Executive Assistant with accounting functions, organizational filing, researching grants and sponsorship opportunities, assisting Executive Assistant during the Festival. · Ongoing duties: Researching and creating systems and structures that help support the Executive Director and Executive Assistant. REQUIREMENTS: · Motivated · Self-management and organizational skills. · Able to multi-task · Good communication skills · Process-oriented problem-solvers · Events and marketing experience preferred, but not required. · Proficiency in Microsoft office as well as administrative experience preferred.
Ø MARKETING & PR:Austin Film Festival is looking for interns to assist the Director of Marketing with research, grassroots efforts and internet marketing strategies. CATEGORIES: Marketing & PR, PR The Marketing and PR Intern will play a role in the promotion and implementation of marketing strategies for AFF. RESPONSIBILITIES: · Working with social media, flyer design, event promotion, etc. · Researching, compiling, and updating media lists · Tracking media hits · Archiving · During the festival: assisting with the Press Room, flyer distribution, red carpets, social media REQUIREMENTS: · Timeliness, reliability and responsibility are key · Professional demeanor · Proficient in Microsoft Office · Ability to work under pressure and with deadlines · Highly organized · Ability to think outside of the box · Comfortable on the phone · Creative Writing skills · Adobe Suite knowledge a plus, but not required
Ø REGISTRATION:The Registration Department is seeking interns to build a Registration team to assist the Registration Director before and during the festival with a variety of registration related tasks and management. CATEGORIES: Registration, Communication, RESPONSIBILITIES: · Assist with registration database management · Organize registration and packet materials · Communicate with and field questions from festival attendees · Update records before, during, and after the festival · During the Festival: Interns will assist the Registration Director with managing registration and communicating with attendees as well as updating the Registration Director of any changes/daily issues that may occur. REQUIREMENTS: · Proficiency in Microsoft Suite, especially Excel experience. · FileMaker and Photoshop experience is preferred or at least some experience with any type of relational database. · MUST be proficient at alphabetizing. · MUST have customer service or sales experience, exemplary phone etiquette and be friendly and courteous. · Works well under pressure. · Dependable and responsible. · Ability to follow instructions. · Extremely detail oriented and organized. · Must be able to lift at least 25 lbs. · Excellent problem solving skills & patience
